The agreement, in the words the product actually works by

This describes what we do, what you agree to, and what happens when either side stops. Where a clause would be nicer than the product, we wrote the product.

Who this is between

These terms are between the operator of AIPickUp4U ("we", "us") and the business that opens an account ("you"). They cover the phone receptionist, the merchant console, and this website. Using any of them means you accept them. If you are agreeing on behalf of a company, you are saying you are allowed to.

What the service does

A caller dials your number, the call is answered by an AI receptionist, and it books, moves or cancels appointments against your live diary. It answers in the language the caller speaks. It sends your customer a text with a six-character code. It is software, not a person: it can mishear, and it can decline a booking your diary would in fact have allowed.

There is no call recording

Audio travels directly between the phone carrier and the voice provider; it never passes through our servers, so there is nothing for us to store. What we keep is a written transcript of each call. If you need recordings for compliance or dispute resolution, this product does not provide them today.

What you pay for

A monthly or yearly plan with an amount of included talking time. Talking time is what costs us money, so it is what we meter — not bookings. Prices, included minutes and the overage rate are the ones shown on the pricing page at the moment you subscribe; that page reads the live price list, it is not a brochure.

Going over your minutes

Nothing is cut off. Minutes past your allowance bill at the published overage rate on your next invoice, and any top-up minutes you bought are used before overage starts. We would rather bill you than let your phone stop being answered — a missed call costs you more than the minute did.

Cancelling

You can cancel at any time from the billing page, and your plan runs to the end of the period you have paid for. We do not refund the unused part of a period, whether monthly or yearly — cancelling stops the next charge, it does not reverse the last one. Usage already incurred (overage, top-up packs, number fees) is billed on the final invoice.

Your phone number

A number we buy for you stays assigned to your account, and you can release it from the console at any time. Cancelling your subscription does not by itself release it. If you brought your own number, it stays yours throughout — we never hold it. Once a number is released it goes back to the carrier and cannot be recovered.

Texting your customers — your obligation, not ours

Confirmations, reminders and cancellation receipts go to the number the caller gave on the call. You are responsible for having the right to contact the people whose numbers reach us, and for complying with the messaging rules that apply where you operate. We will suspend messaging for an account that generates complaints, because the sending number is shared across every business on the platform.

Whose data is whose

Your bookings, your customers and your call transcripts belong to you; we hold them to run the service and we do not sell them. Your customers are your customers — if one of them asks you to delete their booking, you can do it from your own console. We keep aggregate, non-identifying figures about how the product is used.

What we promise about uptime

We do not offer a service level agreement. What we do offer is a fallback: if the voice provider stops responding, the trunk plays a busy message and can transfer to a phone you nominate. Failover needs about four seconds of silence to trigger, so a caller may hear a pause first. Everything else is best effort.

What you may not do

Resell the service as your own, use it for calls you are not authorised to receive, feed it numbers you have no relationship with, attempt to reach other businesses’ data, or use it where an automated answer is prohibited. We can suspend an account that does any of these, and we will tell you why.

Limits on what we owe you

The service is provided as it is. To the extent the law allows, we are not liable for lost business, lost bookings or lost profit, and our total liability is capped at what you paid us in the twelve months before the claim. Some places do not allow parts of this to be excluded, and where that is so, this clause applies only as far as it legally can.

Changes

We can change these terms. Material changes are announced by email to the address on your account at least 30 days before they take effect, and continuing to use the service after that is acceptance. A price change never applies to a period you have already paid for.

If something goes wrong

Write to [email protected] first. Most disagreements here are about minutes, and those are settled by looking at the same invoice together — we can see exactly which calls were metered and when. We would rather fix it than argue about it.

Questions about any of this

Write to [email protected] and a person will answer. If something here does not match what the product actually does, that is a bug in this page and we want to know.
